Booking your dream tour with InConventus Group has never been easier! Follow the simple steps below to reserve your place on one of our carefully curated agricultural and educational expeditions. Choose from a wide selection of destinations, expert-designed itineraries, and flexible dates to match your schedule and interests.

To confirm your reservation, we require a deposit paid securely via our encrypted online payment system. Your financial data is fully protected in accordance with strict privacy and data protection policies. Once your deposit is received, our team will contact you to finalize the details and assist you every step of the way.

Online Booking Process

  1. Find your desired tour on our website and click “Book this Tour”.
  2. Fill in the booking form and make the deposit payment through our secure payment portal.
  3. You will receive an official confirmation of your reservation.
  4. Twelve weeks before departure, we will send you a detailed travel pack, including your itinerary, and species or technical lists (if requested).
  5. You will also receive your final invoice for the remaining balance.
  6. Air/train tickets (if included) will be sent 1–4 weeks before the tour.

Note: Full payment must be completed at least 10 weeks before departure via bank transfer or card payment.


Offline Booking Process

  1. Download the Booking Form, fill it in electronically or by hand, and read the Booking Conditions.
  2. Send the completed and signed form to:

  1. The deposit can be paid via:
    • Credit/debit card
    • Bank transfer (Please contact us for bank account details)
  2. Upon receiving your form and deposit, we will confirm your booking.
  3. Twelve weeks before departure, you’ll receive your travel pack and invoice for the balance.
  4. Tickets and final information will be sent 1–4 weeks before the tour.

These are the terms and conditions which will apply to your holiday. Please read them carefully, as by signing the booking form you agree to be bound by them.

Travel Insurance is an essential element of your holiday, but we cannot arrange insurance for our clients due to FCA regulations.

On booking, you are entering into a contract with InConventus Group Sp. z o.o.. This agreement is governed by and shall be interpreted in accordance with Polish law.


YOUR COMMITMENTS TO US

Payment
A non-refundable, but transferable deposit is required at the time of booking. The balance is due ten weeks before departure. You will receive an invoice approximately twelve weeks before departure. If the balance is not received on time, we reserve the right to cancel the booking and retain the deposit.

Cancellation By You
All cancellations must be made in writing by the person who signed the booking form. Cancellation charges are as follows:

Alterations By You

  • Changes within 10 weeks of departure are treated as cancellations and subject to charges as above.
  • Other changes are subject to a fee of €25 per booking form, plus any applicable costs from suppliers (e.g., airlines).

Insurance
All participants must have valid travel insurance from the time of booking, covering cancellations, medical costs, repatriation, and evacuation. InConventus Group does not verify individual insurance policies.

Passports and Visas
It is your responsibility to hold a passport valid for 6 months beyond the return date and to secure any necessary visas or vaccination certificates.

Tour Leader Authority
By signing the booking form, you agree to follow the instructions of the tour leader. We reserve the right to terminate the participation of any individual who acts illegally or disruptively, without any refund or additional responsibility.

Complaints
Please report any issues to the tour leader immediately. If unresolved, submit your complaint in writing within 28 days of the tour’s end. Disputes not settled amicably may be referred to arbitration under procedures in Poland.


OUR COMMITMENTS TO YOU

Alterations By Us
We reserve the right to modify or cancel any part of the tour due to unforeseen circumstances. If significant changes occur (e.g., change in departure time >12h, downgrade in accommodation), you may choose to accept, switch to another trip, or receive a full refund.

We are not responsible for delays or extra costs due to transport changes, weather, strikes, or other force majeure situations.

Itinerary Alterations
Due to the nature of international travel, flexibility is essential. InConventus reserves the right to adjust itineraries without liability for any resulting loss.

Prices and Surcharges
Tour prices are based on exchange rates and tariffs as of August 6th, 2022. We reserve the right to correct errors and apply surcharges due to government action, currency changes, or airfare increases.

  • We will absorb up to 2% of cost increases.
  • Increases above 2% may be passed on.
  • You may cancel with a full refund if the surcharge exceeds 10%, provided you notify us within 10 days of receiving the surcharge notice.

Tour Cancellation
We reserve the right to cancel tours with insufficient bookings ten weeks before departure. A full refund (excluding insurance) will be issued. In the event of cancellation due to force majeure (e.g., war, natural disasters), full refunds (excluding insurance) will be provided, but we are not responsible for costs related to delayed returns.

Our Liability To You
You join the tour at your own risk. We accept responsibility for providing the tour as described and to a reasonable standard, but not for events beyond our control (e.g., airline or third-party actions). We do not accept liability for injury, loss, or expenses from force majeure or third-party actions. Consequential losses are also excluded.
